University document management software with LogicalDOC

Controlled records for university teams

LogicalDOC university document management software gives registrars, HR teams, and accreditation coordinators a controlled repository for student records, personnel documents, and accreditation evidence. We combine searchable metadata, documented version histories, access permissions, and configurable approval workflows.

A revised degree audit should remain traceable. An appointment letter needs a clearly identified editor. A program-assessment report needs a review status that colleagues can check without searching email.

LogicalDOC connects those documents to their history and assigned responsibilities. Authorized remote and on-campus staff work through a web interface, while your university defines record ownership, access rules, and approval authority.

Find authoritative student records

LogicalDOC keeps successive student-document revisions together and makes them searchable by university-defined fields. Registrars can retrieve a degree audit by student identifier and record category, then inspect its revision history instead of comparing competing email attachments.

Configurable document templates let you define those fields alongside standard properties such as author, subject, and date. Your university chooses the metadata structure; student identifiers and record categories are examples of custom fields you can configure.

For recurring retrieval, combine metadata criteria and save the search for reuse. Full-text search provides another route when a staff member remembers wording inside a document but lacks its exact filename. Together, those methods support both identifier-based retrieval and content-based investigation.

Version control retains previous revisions, identifies who changed a document and when, and supports version notes and major/minor numbering. Staff can compare content and metadata between versions. A note explaining a corrected course allocation gives the next reviewer more context than a filename ending in “final2.”

Record ownership still needs an institutional decision. The University of Michigan College of Engineering distinguishes official student records maintained by designated offices from departmental working files used for student services. Reflect that distinction in your repository: identify the responsible office and distinguish its authoritative record from a departmental working copy.

Control access to personnel documents

LogicalDOC separates permission to view, download, edit, and administer access to personnel documents. HR can organize appointment letters, CVs, and performance evaluations by employee identifier and document category, then assign access according to each group’s responsibilities.

Read, Preview, Download, Write, and Security are distinct permissions. Preview governs display in the interface; Download governs extracting a document; Write governs editing; Security governs managing access policies. An employee’s need to review an appointment letter does not automatically establish a need to edit it or administer its permissions.

Create HR-specific groups and restrict personnel folders accordingly. Folder security supports applying rights across subfolders and inheriting another folder’s policies. Changes to a referenced policy are replicated to folders that inherit it, helping administrators maintain consistent rules across a personnel-document structure.

Search respects those boundaries. An accreditation coordinator receives only results accessible to the signed-in account, so a shared repository does not make unrelated personnel files visible.

Check-out also controls competing edits. An authorized HR specialist can check out a draft appointment letter while another authorized colleague views the available read-only document. Other users cannot change the checked-out file. Check-in can create a major or minor version, and check-in/check-out operations are logged and tracked.

Route accreditation evidence for approval

LogicalDOC approval workflows assign accreditation-document review to named participants and make the document’s workflow status visible. Coordinators can distinguish a report awaiting departmental review from one that has completed its configured approval process.

For institutions evaluated by the Higher Learning Commission, institutional information and evidence underpin evaluation. Organizing assessment reports and supporting policies around identifiable programs, reporting periods, and criterion references gives coordinators specific ways to retrieve relevant material.

Configure those properties in a document template, then define a review route. A program-assessment report could follow this sequence:

  1. The report author submits the document for departmental review.

  2. The department reviewer checks the findings and either approves the next transition or returns the report for revision.

  3. The accreditation coordinator reviews the report for inclusion in the institution’s evidence collection.

Administrators create workflow templates with tasks and transitions. LogicalDOC supports sequential and parallel tasks, alternate task users, notifications, and reminders. Participants receive email alerts and see assigned document tasks in their dashboards, whether they are working remotely or on campus.

Version history and approval status answer different questions. Saving a metadata correction, such as a revised program name or reporting-period field, creates a minor version and requires Write permission. That revision does not by itself establish academic approval. A configured workflow can validate a document into an Approved state or conduct a review without changing its lifecycle state. Your university assigns the people authorized to make that decision.

Set retention and record responsibilities

LogicalDOC retention policies support different rules for student records, personnel documents, and accreditation evidence. Configure policies by document type, dates, and associated actions rather than assigning one retention period to the entire repository.

Your university names the record custodian, approves the applicable schedule, and defines disposition authority. Document categories should reflect those decisions before staff apply retention rules.

For U.S. institutions, the U.S. Department of Education’s FERPA regulations require reasonable methods to restrict access under the school-official exception to officials with legitimate educational interests. University employment alone does not authorize access to every student record.

Classification also requires care: records of a student employed because of student status are education records under FERPA. Placing those documents in a personnel folder does not determine their legal classification.

Operational activity logs and FERPA disclosure records have different purposes. FERPA requires records of specified requests and disclosures, with exceptions that include qualifying school officials. Define the applicable recordkeeping procedure separately from routine tracking of document access, edits, and workflow activity.

Choose deployment and edition

LogicalDOC supports cloud, on-premises, and hybrid deployment so your university can align document management with its hosting and administration responsibilities.

LogicalDOC Cloud is externally hosted and provides internet access without local software installation or maintenance. An on-premises deployment runs on internal servers and requires system administration. Both approaches provide a web interface for authorized staff. For an on-premises installation, remote connectivity forms part of the university’s deployment architecture.

Choose the edition against the complete process you intend to configure. Community, Business, Enterprise, and Cloud include version control, check-in/check-out, metadata and templates, document searching, folder security, and users and groups.

Enterprise and Cloud include workflow and retention policies. Those editions match the combined scenario of tracing registrar revisions, controlling HR access, routing accreditation evidence for approval, and applying document-specific retention rules. Evaluate those requirements together so the selection covers both retrieval and responsibility for review and disposition.

See your university workflow

Book a personal LogicalDOC demonstration around three representative, non-sensitive documents: a degree audit, an appointment letter, and a program-assessment report.

Bring a registrar, an HR representative, and an accreditation coordinator. We can demonstrate tracing a revision, restricting personnel-document access, and routing evidence for review, including the experience for authorized remote and on-campus staff. Ask each participant to identify the record owner, required permissions, and approval decision for their example so the demonstration tests your university’s actual responsibilities.
